N+P Informationssysteme: Efficient and error-free ordering processes through automation at romwell GmbH & Co. KG

“Turning old into new”: A process is turned on its head

As an innovative company, romwell attaches great importance to efficient and precise product development in order to meet customer requirements. Modern processes are necessary at all levels to ensure this. For this reason, the ordering and approval process was to be updated in order to be able to supply customers with packaging and machine solutions even faster in future.

The project focused on the following objectives:

  • Leading article number allocation and parts list creation in CAD/PDM
  • Transferring the data to the ERP system with automated creation of articles and parts lists
  • Division of the parts list according to preferred suppliers and creation of the various orders in the ERP system
  • Trigger the ordering process by email with audit-proof drawings
  • Avoidance of multiple data entries
  • Permanent cost transparency in material purchasing
  • Elimination of error sources from manual processing through check routines in the system
  • Acceleration of the ordering process

The prerequisites for the above steps were, on the one hand, the standardization of existing databases in one system and, on the other hand, the creation of an interface between the design software and the ERP system.

Objective: digitalization with a system

Romwell and N+P Informationssysteme GmbH (N+P) have been working together as partners for several years. At the time, the company was already using Autodesk® Vault™ Basic and wanted to streamline and simplify its machine ordering processes. A first step was the acquisition of a license for the NuPToolbox for Vault developed by N+P and the introduction of jobs to automate the export. Building on this collaboration, romwell’s CAD/PDM system landscape was successively modernized and expanded over the following years. A particular focus was placed on the gradual connection to the existing ERP system.

One key requirement was to network all systems seamlessly in order to avoid media disruptions and ensure data consistency. At the same time, manual article number assignment was to be automated, the processing of parts lists digitized and collaboration with suppliers put on a reliable footing. Safeguarding approval processes also played a key role in ensuring that only authorized persons can make changes to drawings or orders.

IT solution: PDM and ERP grow together

In the course of IT modernization, romwell decided to introduce an end-to-end PDM solution with a direct connection to the ERP system. A key step was the switch from Autodesk Vault Basic to Vault Professional. This made it possible to implement structured management and revision-proof versioning of the digital design data. The number generator included in Autodesk Vault Professional enabled the system-supported and unique assignment of article numbers. This completely eliminated typical sources of error such as duplicate or incorrect numbers.

The direct integration of CAD data into the ERP system using NuPc0nnectERP Premium proved to be particularly effective. As a result, parts lists are now generated automatically from the CAD models and can be processed immediately. The entire ordering process, which used to take several days, can now be completed digitally with just a few clicks.

All relevant information, such as material availability or prices, is available centrally in the system and enables quick and well-founded decisions to be made. Transparency in cost control has been significantly improved, as budget information and purchase prices can be viewed in real time.

Another success factor was the introduction of a clearly regulated approval system. Only authorized persons can make changes to drawings or orders. This ensures that only approved, up-to-date documents are sent to suppliers. Faulty production due to outdated data is now a thing of the past. The automation and standardization of processes not only led to greater security, but also to a noticeable reduction in the workload for employees.

Benefits: Faster processes, fewer errors

The new solution is having a measurable effect. The entire ordering process has been accelerated by up to 70 percent. The number of incorrect or duplicate article numbers has been significantly reduced. Thanks to standardized, centrally managed data, the packaging manufacturer now works more efficiently than ever. Collaboration with external partners is much smoother, as it is ensured that up-to-date and correct drawings are available at all times.

“Today, one click is all it takes where Excel lists used to circle. We work faster, more reliably and with significantly fewer errors in the ordering process,” says Torsten Loos, design engineer at romwell. Transparency in cost control has also improved noticeably. Whereas previously prices and budgets had to be compared manually, the system now provides precise information on the material costs incurred in real time. This not only saves time, but also enables significantly better financial planning.

Conclusion and outlook

The successful introduction of the new PDM software solution has permanently changed the process landscape at romwell. With end-to-end digitalization, clear structures and automated processes, the company is now ideally positioned for the challenges of the future – efficient, error-free and digitally optimized. “We are keeping a very close eye on technological developments such as IoT-supported service processes. It is important for us to integrate new solutions in a secure and targeted manner – especially in view of the growing demands on IT security,” says Sven Appel, Head of IT at romwell.
