Why ChatGPT and not Copilot?<\/h3>\n

With Copilot, Microsoft offers its own AI directly within PowerPoint. It\u2019s good, but it requires an additional license that not every company has activated yet. Using ChatGPT, on the other hand, works everywhere: The AI handles the thinking and structuring, while PowerPoint handles the building. And if your company decides to adopt Copilot later on, the workflow will be the same. Once you\u2019ve learned how to give an AI precise instructions, you\u2019ll benefit from it with any tool.<\/p>\n

Step 1: ChatGPT creates the outline<\/h3>\n

The most important step is the request, known as the prompt. The more precisely you describe what you need, the more useful the result will be. Specify the topic, target audience, occasion, desired number of slides, and the format in which the AI should respond. A tried-and-true example:
\u201cCreate an outline for a PowerPoint presentation on the topic \u2018Introduction of a New Time-Tracking System.\u2019 Target audience: Employees with no prior knowledge. Duration: 15 minutes, about 10 slides. Give me a title and three to four short bullet points for each slide. Format slide titles as Heading 1 and bullet points as Heading 2.”<\/p>\n

The last sentence is crucial. It ensures that the answer already has the structure that PowerPoint can understand in the next step. If something isn\u2019t right, simply reply in the dialog box: \u201cCombine slides 4 and 5\u201d or \u201cInsert a slide with the most frequently asked questions.\u201d The AI will revise the outline until it\u2019s correct.<\/p>\n

Step 2: Transfer the Outline to Word<\/h3>\n

Copy the response into a blank Word document. Quickly check that the style formats are set correctly: Each slide title should have the \u201cHeading 1\u201d style, and each bullet point should have the \u201cHeading 2\u201d style. If ChatGPT used bullet points or bold text instead, select the lines and assign the styles using the \u201cStyles\u201d section in the Home tab. Then save the document.<\/p>\n

The effort is worth it, because these two styles are key: PowerPoint interprets them as instructions for which line becomes a title and which belongs to the list.<\/p>\n

Step 3: Ready-made Slides with a Single Click<\/h3>\n

Now comes the feature that many PowerPoint users have never discovered:<\/p>\n

  2. On the Home ribbon, click the small arrow under New Slide.<\/li>\n
  3. At the very bottom, select Slides from Outline.<\/li>\n
  4. Select your Word document and confirm by clicking Insert.<\/li>\n<\/ol>\n

    PowerPoint automatically generates all the slides from this: Each \u201cHeading 1\u201d becomes a slide title, and the corresponding \u201cHeading 2\u201d headings become bullet points. A ten-part outline thus turns into ten slides with content in just seconds.<\/p>\n

    To customize the appearance, use PowerPoint\u2019s design ideas (Design tab), which suggest layouts tailored to each slide. Or assign your company\u2019s template, and the slides will automatically adopt your colors, fonts, and logo.<\/p>\n

    Bonus: Speaker Notes from AI<\/h3>\n

    The slides are ready, but what will you say about them? ChatGPT can help with that, too. Send the finished outline back to the chat with the request: “Write me two to three sentences of speaker notes for each slide in a casual, easy-to-understand tone.” Paste the notes into the Notes pane below the respective slide in PowerPoint. This way, you\u2019ll always have your main thread in view in Presenter View.<\/p>\n

    Entering Confidential Content into ChatGPT<\/h3>\n

    First things first: Anything you enter into the free version of ChatGPT leaves your company and can be used to train the AI. Customer names, revenue figures, personnel data, or internal strategies have no place there. Better: Use neutral placeholders (\u201cCustomer A,\u201d \u201cProduct X\u201d) and add the actual details in PowerPoint later. Also, check with your IT department to see which AI tools are approved for use in the company.<\/p>\n

    Using Slides Without Reviewing Them<\/h3>\n

    ChatGPT crafts convincing text, even if the content is factually incorrect or too general for your context. Better: Have every slide fact-checked by a subject matter expert. The AI provides the structure, but the responsibility for the content remains with you.<\/p>\n

    Text-heavy slides<\/h3>\n

    AI-generated outlines are often detailed, and PowerPoint copies every line. The result is slides crammed with text that no one reads. Better: Limit each slide to three to five bullet points; move everything else to the speaker notes.<\/p>\n

    ChatGPT excels at organizing content, suggesting phrasing, and providing a first draft that you would otherwise have to painstakingly create from scratch. What AI can\u2019t do: understand your audience, prioritize your message, or know which arguments matter in your company. That\u2019s exactly what remains your job. If you\u2019re proficient with PowerPoint\u2019s features, you can quickly turn the AI\u2019s draft into a professional presentation.<\/p>\n

    The combination of ChatGPT and the \u201cSlides from Outline\u201d feature takes the most tedious part of the preparatory work off your hands. The AI provides structure and raw text, PowerPoint builds the slides, and you focus on what matters: the message and the delivery.
